To provide a seamless educational tracking experience, Gradeify processes information managed by SSIOS. We collect data in the following ways:
Information Provided Automatically by SSIOS
Because Gradeify is an institutional tool, the majority of personal data is securely synced from the official SSIOS database:
- Student Profile Data: Full name, roll number/enrollment ID, class/grade level, and photograph (if applicable).
- Parent/Guardian Data: Parent names, contact numbers, and email addresses linked to the student.
- Academic & Administrative Records: Daily attendance status, fee structures, payment histories, exam schedules, report cards, and marks.
Information Collected Directly via the App
- Authentication Data: Login credentials (usernames, passwords, or OTPs) to secure your account.
- Device Information: We may collect basic device data (such as OS version, device model, and unique device identifiers) to troubleshoot bugs and ensure app stability.
- Push Notification Tokens: To deliver real-time general alerts and notices from SSIOS.
2. How We Use Your Information
We use the collected information strictly for educational and administrative purposes, specifically to:
- Provide real-time tracking of student attendance and exam schedules.
- Facilitate the viewing and management of school fees and payment status.
- Deliver urgent general alerts, notices, and holiday announcements directly from SSIOS.
- Maintain, secure, and optimize the performance of the Gradeify app.
- Comply with applicable legal and educational regulatory frameworks.
Note: We never sell, rent, or trade student or parent personal data to third-party advertisers or data brokers.
3. How Data is Shared and Disclosed
We only share information under the following limited circumstances:
- With Institutional Administrators: Authorized staff at SSIOS have full access to the dashboard to update records and send alerts.
- With Third-Party Service Providers: We may share data with trusted technical partners (e.g., cloud hosting infrastructure, secure payment gateways for fees, SMS/push notification delivery services) who are contractually bound to keep your data confidential and secure.
- For Legal Compliance: If required by law, court order, or government authority to protect the safety and rights of the institution, students, or the public.

We implement robust, industry-standard administrative, technical, and physical security measures to protect student and parent records. This includes:

While we take exceptional care, please remember that no method of transmission over the internet or electronic storage is 100% secure. We encourage parents and students to keep their login credentials confidential.
5. Children’s Privacy
Gradeify handles the data of underage students. Because this data is provisioned directly through institutional enrollment at SSIOS by parents or legal guardians, consent is managed at the time of school admission. We strictly comply with relevant regional student privacy protections, ensuring no data is collected from children outside the scope of their school curriculum and administration.
6. Data Retention and Deletion
We retain student and parent data only as long as the student is actively enrolled at SSIOS or as required by institutional record-keeping regulations.
- If a student leaves the institute, their access to Gradeify will be deactivated.
- Account deletion or archival requests must be directed to the SSIOS administration office.
7. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our app features or legal requirements. We will notify you of any material changes by posting the new policy within the app and updating the "Last Updated" date at the top.
